Our small, non-profit reproductive and sexual health clinic based in the northern suburbs is looking for a compassionate and skilled Patient Intake Coordinator. Many of our patients are low income and some have experienced sexual trauma, so it's essential that you care about our patients as much as we do. As the first point of contact, you know how to establish a rapport with our patients that will make them feel comfortable and safe. We serve everyone, regardless of their ability to pay. ~20 hours per week.


Primary Responsibilities (include but are not limited to)

  • Handles incoming calls to provide general clinic information and to schedule appointments

  • Serves as the first point of contact and facilitates patient intake through screening and paperwork

  • Provides information to the Nurse Practitioner that will ensure quality patient care

  • Skilled in clear and effective communication with callers/patients

  • Accurate data entry of patient information into the EHR system and into our secure patient profile database

  • Provides administrative support to the Nurse Practitioner and to the Executive Director

  • Assesses patient eligibility for the Minnesota Family Planning Program (MFPP) and assists with applications

  • Resolves insurance and billing issues for patients

  • Provide patients with information and referrals to community resources as needed

  • Re-directs calls to emergency services as needed



  • Two to three years of relevant experience

  • Performs duties in the spirit of equity and inclusion: works effectively with people of all cultures, economic and educational backgrounds with equal compassion

  • Excellent customer service and phone skills with the ability to remain professional and non-judgmental

  • Excellent computer skills, including Microsoft Office, EHR systems and more

  • Efficient use of other technology, including copier and telephones

  • Knowledge of health insurance processes

  • Excellent organizational skills and attention to detail

  • Flexible and adaptable

  • Works independently but collaboratively

  • Adheres to patient confidentiality requirements

  • Must be fully vaccinated and follow PPE protocols
